NeuroFest is a free community wellness event hosted by iMotion Physical Therapy in Fremont, CA. We're inviting a small, curated group of health, wellness, and community partners to set up alongside us on August 21, 2026.

WHO WE'RE LOOKING FOR

Three kinds of partners.

We're keeping the categories focused so the lineup feels cohesive — every application is reviewed for relevance to NeuroFest's patients, caregivers, families, and our greater community.

Health & Rehabilitation Providers

Physical therapists, occupational therapists, chiropractors, acupuncturists, massage therapists, nutrition professionals, mental health providers, and movement or wellness instructors.

Community Organizations & Nonprofits

Support groups, advocacy organizations, caregiver resources, disease-specific organizations, and local nonprofits serving people with neurological conditions and their families.

Mobility, Aging & Access Services

Mobility device and adaptive equipment companies, senior living and retirement organizations, accessible transportation services, home-care providers, and other services that support independence and community access.

Every application goes through manual review — there's no auto-accept and no first-come, first-served. We're matching the lineup to NeuroFest's audience, not just filling spaces.

VENDOR SPACES

Every vendor gets a 10×10 space. How it's furnished is up to you.

Table & Chairs

  • Table, tablecloth, and two chairs provided
  • Canopy is not included with this option
  • Your furnishings will be placed in your assigned space
  • You are responsible for arranging your booth materials

Space Only

  • Reserved vendor space only
  • Bring your own table, chairs, signage, and display materials
  • Bring any equipment required for your setup
  • Canopies and non-standard setups require advance approval

Payment is only collected after application approval. Approved vendors will receive a payment link by email for their selected setup option. Application approval does not reserve a vendor space; your reservation is finalized only after payment is received. Electricity is not provided, and all larger equipment, canopies, or non-standard displays must be approved in advance.

Our team reviews every application individually. Applications are not automatically accepted or approved on a first-come, first-served basis.

Receive Your Decision

Expect an application decision by email within 5 business days of applying. Approved applicants will receive a payment link for their selected setup option.

Reserve Your Space

Complete payment using the link provided in your approval email. Your vendor space is not officially reserved until payment is received.

Prepare for Event Day

After payment is received, we'll confirm your reservation and send additional setup and event-day instructions by email.

Frequently Asked Questions.

Is there a cost to be a vendor?

Yes. Full booth rental and setup is $50, a table-and-chairs setup is $30, and space only is $20. Payment is not collected during the application process. If your application is approved, you will receive a payment link by email for your selected setup option. Your space is officially reserved only after payment is received.
Does approval guarantee my vendor space?

No. Approval means your organization has been accepted to participate, but it does not finalize your reservation. Your vendor space is officially reserved only after payment is submitted through the payment link included in your approval email.
How many vendor spaces are there?

There are 12 vendor spaces. We're keeping NeuroFest's vendor lineup focused and curated rather than running a large expo.
When will I hear back after applying?

Within 5 business days. We review applications on a rolling basis up until the August 7, 2026 deadline.
What if my application isn't selected?

We'll still let you know by email, and we'll keep your information on file for future iMotion and NeuroFest events.
Do I need a license or certification?

If you're a health or wellness practitioner, we may ask for your license or certification number as part of review. Nonprofits should be ready to share their organization's name and mission.
Can I sell products or services on-site?

No. Vendors may not sell products or services, and no money may be exchanged at the event. You may provide free samples, collect information from interested guests, and promote your organization, products, or services.
Is there parking for vendors?

Yes. An on-site parking lot is available for vendors. Additional load-in and setup details will be shared by email once your application is approved.
